1.6 BYBO Digital operates two websites: bybodigital.com, our main agency site, and buildyourbizonline.com, which hosts the Run the Show programme. This policy applies specifically to buildyourbizonline.com and the Run the Show products and services. Our separate privacy policy at bybodigital.com/privacy-policy covers processing carried out in connection with our agency services.
2. How We Use Your Personal Data
2.1 This section sets out the categories of personal data we process, the purposes for which we process them, and the lawful basis for each.
2.2 Masterclass registration data.
When you register to watch the Run the Show masterclass, we process the information you provide, typically your name and email address, together with technical data recorded automatically by our platform, such as the date and time you first accessed the masterclass page. We use this to send you the masterclass link and follow-up emails related to the masterclass and Run the Show.
Our lawful basis is our legitimate interests in communicating with people who have actively requested information about Run the Show and, where consent is required for marketing, your consent. You can unsubscribe from marketing emails at any time.
2.3 Programme enrolment and delivery data.
When you purchase the Run the Show programme, we process the information needed to give you access and deliver what is included. This includes your name, email address, billing address and payment transaction data. It may also include notes or materials you share during your private Doing Sessions or final Run the Show Review with Kathy, and any messages you send us for support.
We use this data to create and manage your account on FreedomKit, release programme content, provide your included private sessions and respond to support requests. Our lawful basis is the performance of our contract with you.
2.4 Transaction data.
When you make a payment, whether in full or by instalment, we process transaction details including your name, contact details and details of the payment. Card details are handled directly by Stripe and are not stored by us. We use this data to take payment, manage instalment plans where applicable, provide refunds where due and keep accounting records. Our lawful basis is the performance of our contract with you and compliance with our legal obligations, including tax and accounting law.
2.5 Marketing and follow-up email data.
If you register for the masterclass and do not immediately purchase, we may send you a short sequence of follow-up emails relating to the masterclass and Run the Show. Depending on the circumstances, our lawful basis is our legitimate interests in communicating with people who have actively requested information about the programme and, where consent is required, your consent.
You can unsubscribe at any time using the link in any marketing email. Unsubscribing from marketing will not prevent us sending service messages that are necessary to deliver a programme you have purchased.
2.6 Private session data.
The programme includes three private 30-minute Doing Sessions with Kathy during Months 1 to 3 and one final 60-minute Run the Show Review during Month 4.
If you book and attend these sessions, we may keep brief notes about what was discussed so we can support you effectively throughout the programme. These notes are treated as confidential and are not shared outside our team unless required by law or necessary to provide the service. Our lawful basis is the performance of our contract with you.
2.7 Website usage data.
When you visit buildyourbizonline.com we may process technical data such as your IP address, approximate location, browser type and the pages you view. Where this information is collected through non-essential analytics tools, those tools are used only after you have given the required cookie consent. We use this data to understand how the site is used and to improve it. Our lawful basis is our legitimate interests in monitoring and improving the website, subject to applicable cookie and privacy rules.
2.8 Correspondence data.
We process the content of, and information relating to, communications you send us so that we can respond, provide support and keep appropriate business records. Our lawful basis is our legitimate interests in administering our business and dealing with communications, or the performance of our contract with you where the correspondence relates to your purchase.
2.9 We may also process personal data where necessary to establish, exercise or defend legal claims, obtain professional advice or insurance, or comply with a legal obligation.
2.10 Please do not send us anyone else’s personal data unless we have asked you to and you have an appropriate basis for doing so.
3. Automated Decision-Making
3.1 We do not carry out automated decision-making that produces legal effects concerning you, or that similarly significantly affects you.
3.2 Where we use a 48-hour countdown for an enrolment bonus, the countdown may be triggered automatically when you first access the relevant masterclass or offer page. This is an automated system trigger rather than a decision about you as an individual.
4. Sharing Your Personal Data
4.1 We do not sell your personal data. We share it only where necessary for the purposes described in this policy or where the law allows or requires us to do so.
4.2 Programme platform.
Your name, email address and programme access details are shared with FreedomKit, a white-label version of GoHighLevel, which is the platform we use to host the Run the Show programme, manage your account and send programme-related emails. FreedomKit processes this data on our behalf.
4.3 Payment provider.
Payments are processed by Stripe. We share transaction data with Stripe only as needed to process your payment or instalment plan and deal with related queries. Stripe acts as a data controller in respect of some of the payment data it handles, and its own privacy policy applies.
4.4 Video calling.
Doing Sessions and Run the Show Review Sessions may be conducted via Zoom, Google Meet or a similar video platform. If so, basic contact details may be shared with that platform in order to arrange and conduct the session. We will let you know which platform we are using when booking.
4.5 Analytics and advertising.
We may use Google Analytics or equivalent tools to understand how visitors use this site, and may use advertising pixels such as the Meta Pixel to measure the effectiveness of paid advertising. These tools may set their own cookies and process information about your browsing behaviour in line with their own privacy policies. Non-essential analytics and advertising tools are used only where the required consent has been obtained.
4.6 Email platform.
Marketing and follow-up emails sent outside FreedomKit may be managed through MailerLite or another email service provider acting on our behalf.
4.7 Professional advisers and legal obligations.
We may share personal data with accountants, legal advisers, insurers, IT providers and other professional service providers where reasonably necessary, and may disclose data where required by law.
5. International Transfers
5.1 Some third-party providers we use may process personal data outside the UK. Where this happens, we take steps to ensure your data is protected in accordance with UK data protection law, for example by relying on UK adequacy regulations or appropriate contractual safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
6. How Long We Keep Your Personal Data
6.1 We do not keep personal data for longer than is reasonably necessary for the purposes for which it was collected, including legal, accounting and reporting requirements.
6.2 In general:
· Masterclass registrants who do not purchase: contact and registration data is kept while we have a valid reason to communicate with you. If you unsubscribe from marketing, we will stop sending marketing and may retain a suppression record so we can respect your preference.
· Programme participants: account and access data may be kept while your programme access remains active. Purchase, payment and relevant programme records are normally kept for up to 6 years afterwards where necessary for legal, tax, accounting or claims purposes.
· Private-session notes: kept only for as long as reasonably necessary to support you and deal with any later query or claim, and not longer than required for those purposes.
· Marketing consent and objection records: kept for as long as reasonably necessary to demonstrate compliance and respect your communication preferences.
6.3 When retention periods expire, we securely delete or anonymise personal data unless we have another lawful reason to retain it.
7. How We Protect Your Data
7.1 We use appropriate technical and organisational measures to protect your personal data against accidental or unlawful loss, misuse, unauthorised access, disclosure or alteration.
7.2 These measures include secure encrypted connections (HTTPS) across this website and the FreedomKit platform, appropriate access controls and limiting access to personal data to people who need it for their role.
7.3 No method of transmitting or storing data can be guaranteed to be completely secure, but we take reasonable steps to protect the information you provide to us.
8. Your Rights
8.1 Under data protection law you have a number of rights. Some are subject to conditions and exemptions, so the list below is a summary rather than a complete statement of the law.
